Your privacy matters

This Privacy Policy explains how PlanAway collects, uses, stores, and protects personal data when you use our travel-planning mobile app on iOS or Android.

1. Introduction and scope

PlanAway is a travel planning app that helps you organize trips, track flights, manage expenses, create packing lists, upload travel materials, and view road trips. This Privacy Policy applies to the PlanAway mobile application, related services, and communications about the app. By using PlanAway, you acknowledge the practices described in this policy.

2. Responsible party / data controller

The data controller responsible for processing personal data under this Privacy Policy is Laura Richter. You can contact the controller at laura.a.richter@icloud.com. For the purposes of the GDPR, the controller determines the purposes and means of processing personal data in connection with PlanAway.

3. Personal data we collect

Depending on how you use PlanAway, we may process: account information such as your email address and authentication credentials; trip data such as destinations, dates, activities, reservations, flight details, expenses, budgets, packing lists, notes, photos, and documents; images and screenshots you choose to upload; subscription and purchase status; technical information needed to operate the app, such as device, app version, and diagnostic information; and communications you send to us. We do not intentionally collect sensitive personal data unless you choose to include it in content you upload or enter into the app.

4. Why we process your data

We process personal data to provide and maintain PlanAway; authenticate your account; synchronize your travel information across sessions; create and display itineraries, budgets, packing lists, and maps; process flight screenshots using AI where you request this feature; manage subscriptions and purchases; provide customer support; prevent abuse and maintain security; comply with legal obligations; and improve the reliability and performance of the app. Our legal bases under the GDPR may include performance of a contract, your consent, legitimate interests in operating a secure service, and compliance with legal obligations.

5. Third-party services

PlanAway uses carefully selected providers to operate specific functions. Firebase Authentication provides email and password sign-in. Firebase Firestore stores account-linked trip data, expenses, packing lists, photos, and documents. Firebase Cloud Functions may process uploaded flight screenshots to enable AI-powered flight data extraction. RevenueCat processes and manages in-app purchases and subscription entitlements. Anthropic Claude API may analyze flight screenshots submitted by you to extract flight information. Google Maps may display road trip routes and related map content. These providers process data only as necessary to deliver their services and under their own privacy terms and applicable data processing commitments.

6. Camera and photo library permissions

PlanAway requests access to your camera or photo library only when you choose to upload a photo or document, or scan a flight screenshot. Permission is optional. You may decline or revoke access at any time in your device settings; however, features that require image selection or scanning will not work without the relevant permission. Photos and documents are uploaded only when you choose to add them to your trip data.

7. Data storage, retention, and international transfers

We retain account and trip data for as long as your account remains active or as needed to provide PlanAway. We may retain limited information for longer where necessary for legal, accounting, security, or dispute-resolution purposes. Our service providers may process data in countries outside the European Economic Area, including the United States. Where required, appropriate safeguards such as standard contractual clauses or other lawful transfer mechanisms are used by the applicable provider.

8. Your rights under the GDPR

Subject to applicable law, you may request access to your personal data, correction of inaccurate data, deletion of your data, restriction of processing, data portability, or objection to processing based on legitimate interests. Where processing is based on consent, you may withdraw consent at any time without affecting the lawfulness of processing before withdrawal. 9. Account and data deletion

You may request deletion of your PlanAway account and associated personal data by emailing laura.a.richter@icloud.com from the email address associated with your account. We may ask for information needed to verify the request. After verification, we will delete or anonymize your personal data within a reasonable period, except where retention is required by law or necessary for legitimate purposes such as fraud prevention or resolving disputes. Deleting your account may end access to subscriptions and cannot be reversed.

10. Security

We use reasonable technical and organizational measures designed to protect personal data, including access controls and service-provider security features. However, no transmission or storage system can be guaranteed to be completely secure. Please keep your account credentials confidential and contact us promptly if you believe your account has been compromised.

11. Children’s privacy

PlanAway is not directed to children under the age at which consent is required under applicable law. We do not knowingly collect personal data from children without appropriate authorization. If you believe a child has provided personal data to us, please contact us so that we can take appropriate action.

12. Changes to this policy

We may update this Privacy Policy to reflect changes to PlanAway, legal requirements, or our data practices. The updated version will be posted in the app or on this page with a revised effective date. We encourage you to review this policy periodically.
